Pro Arts Administrative Consultant

Job Description  
Spring 2025
Part-time position, approximately 20 hours per week
Compensation based on experience

As a volunteer, artist-run visual arts organization we are dependent upon our members to carry-out the tasks associated with exhibitions and professional development events. Supporting this organization’s operations, the Administrative Consultant brings continuity and institutional memory to Pro Arts while maintaining the organization’s records and serving as a friendly representative and guide to new members. The Administrative Consultant works closely with the Pro Arts Board, leadership team, committee members, and ART150 building management to ensure that programs – from art exhibitions to professional development events and member gatherings – are well planned and executed.  

Duties and Responsibilities

  • Schedules and actively participates in weekly leadership calls via Zoom
  • Manages email and picks up postal mail (Grove St location) 
  • Maintains member records, including member renewals and database management
  • Prepares correspondence, documentation and presentation materials as needed
  • Works with treasurer and leadership team to track finances and budget info
  • Collaborates with member-volunteers to keep the website current.
  • Assists with grant applications and reports.
  • With leadership, develops annual board meeting schedules, reminders, and agendas.
  • Works with members and committees to carry out programs, including exhibitions, professional development events, and other events, handling behind-the-scenes details
  • Tends to administrative tasks as they arise (e.g. insurance communications, etc.)
  • Collaborates with leadership team to update Pro Arts policies and procedures
  • Works regularly to streamline and improve Pro Arts administrative infrastructure
  • Works as liaison and main communication between GFP Real Estate and ART150 studio artists 
  • Assists studio artists with their exhibition

Skills and Qualifications

  • Excellent written and verbal communication skills
  • Highly organized; able to keep immediate and longer-term initiatives on track 
  • Comfortable working behind the scenes or as a public-facing representative of Pro Arts
  • Excellent time management skills: ability to prioritize and follow through
  • Friendly and approachable; able to work with many different personalities 
  • Problem-solving self starter who can be effective with limited supervision
  • At ease in both leadership and team-player roles, managing team members, leading meetings, yet also creating space for others to lead and learn
  • Prior organization/project management experience in a related field 
  • Proficient computer skills (Google Drive, Word, Excel, calendar, WordPress)
  • Lover of the arts (preferably not a visual artist yourself)
  • Can work from home but must be physically available to be in Jersey City on short notice; local resident is preferred
